We take the protection of your personal data very seriously. We would therefore like to inform you about our data protection principles and the procedures concerning the use of your data as part of your application via our e-Recruiting system.
Consent to the Processing of Personal Data
When you register on our careers page, you are applying for a specific vacancy or are submitting a speculative application for employment with our company. We will use your information solely for recruiting purposes for the position you are applying for. By applying, you agree to the storage and usage of your personal data for this purpose.
You can view, update, or delete your data at any time in your applicant cockpit. Please note that you are responsible for the accuracy of your data.
Your profile is activated each time you establish contact or make changes, and will be saved for a period of 180 days from the date of last activation. Before an automatic deletion of your data, you will receive notification as well as the possibility to update your profile and thus maintain it in our application system. If you do not wish to update your profile, it will be deleted within four weeks. According to legal requirements, your data will be stored in the backup of the system for further six months, and will only be viewed in justified exceptional cases. After six months, the data will be permanently deleted.
Bertrandt employs both technical and organizational security measures to protect your data from manipulation, loss, destruction and unauthorized access, and reviews its security measures regularly in line with technological developments.
By submitting an online application, you give your consent that your personal data may be used for the following purposes:
processing of the incoming applications and storage in our applicant database with the purpose of applicant selection and for forwarding them to subsidiary companies of Bertrandt AG, affiliated companies according to § 18 AktG and their potentially interested customers.
processing of the application and for related activities within Bertrandt AG and the subsidiary companies of Bertrandt AG, affiliated companies according to § 18 AktG and their potentially interested customers.
storage on the servers of Bertrandt AG and the subsidiary companies of Bertrandt AG, affiliated companies according to § 18 AktG or service providers bound by contract and by the obligations of data protection.
If you use the parsing function (automatic read-out of applicant data) from your CV or from your social network accounts such as XING, the data selected by you will be forwarded to our partner company textkernel BV. The data transfer is merely for the purpose of importing your data into the Bertrandt Career Portal. The data are encrypted during transfer and no data are saved by textkernel BV.
At the end of the application process you have the option to revoke the consent of matching your profile with other suitable positions within the Bertrandt-Group.
The processing and use of your data for the purposes of consulting, advertising or market research shall be permitted only with your express agreement that has been additionally and separately obtained.

3. Purpose of the Data Processing, Data Categories and Legal Basis
We store the personal data provided by you in relation to the application process. This applies both to applications to specific vacancies and to speculative applications. These data may include contact details, all data relating to the application (curriculum vitae, certificates, qualifications, responses to questions, etc.) and in some cases bank account details (for the reimbursement of travelling expenses). The legal basis for the processing of data is Art. 6 paragraph 1 point f GDPR and § 26 paragraph 1 BDSG-neu.If you have given your consent to the storage of your personal data for a specified period beyond the application process or to the use of your personal data for similar application processes in the Bertrandt Group, the legal basis is Art. 6 paragraph 1 point a GDPR.
4. Forwarding of Data, Transfer of Data to Third Countries
Within the responsible body, your personal data will be received only by those bodies that are responsible for the preparation and execution of the application process. These are the employees in the human resources department and the competence centres in which the vacancy is to be filled, the managers and the potential superior. Service providers acting on our behalf (so-called processors, cf. Art. 28 GDPR) may process data for the above-mentioned purposes. Transfer of data to third countries does not take place.
5. Storage of Personal Data
If no statutory period of retention exists, the data will be deleted as soon as their storage is no longer required or if there are no longer legitimate interests in their storage. If the applicant is not offered a position, the data will as a rule be deleted at the latest six months after completion of the application process.In individual cases, individual data may be stored for a longer period (e.g. remuneration of travelling expenses). The period of storage is in accordance with the legal retention obligations, for example in compliance with the German Fiscal Code (6 years) or the German Commercial Code (10 years).If you have given your consent to the storage of your personal data for a specified period beyond the period of the application process, this period of retention shall apply.
6. Rights of the Applicant as a Data Subject
Each data subject has the right of access according to Art. 15 GDPR, the right to rectification according to Art. 16 GDPR, the right to erasure according to Art. 17 GDPR, the right to restriction of processing according to Art. 18 GDPR and the right to data portability according to Art. 20 GDPR.With regard to the right of access and the right to erasure, the restrictions according to §§ 34 and 35 BDSG apply. Furthermore, there exists a right to lodge a complaint with a supervisory authority (Art. 77 GDPR in conjunction with § 19 BDSG).
